CS: Effective Communication

The most important aspect of being the conference services manager is the ability to effectively communicate. Excellent communication with all departments in the hotel is critical to ensure a flawless execution of the client’s event.

Once a contract has been signed, the event is now turned over to you, the conference services manager. You are responsible to ensure that the client has a successful event while also keeping the hotel’s profit goals in mind. Effectively communicating with the client will allow you to create banquet event orders that the hotel staff will use to execute the event. The BEOs are the outline to the event and are used to make it come to life.

You must be efficient in the sales system the hotel uses to keep excellent notes on the upcoming event. Keeping good notes on menus, room setups, start and end times, pricing, etc. and communicating to the departments throughout the hotel will ensure everyone is on the same page and nothing gets overlooked.

Conducting site inspections with the client and taking good notes are key to effectively communicate any special needs or changes that the client has to the appropriate departments. While the client is on property, you will be the liaison between the client and the hotel staff. Being able to communicate the needs of the client to the appropriate department is paramount.

By keeping communication open and concise, you can ensure a successful event, which will in turn produce a repeat client for your hotel.
